Existing caregiver onboarding

Already have someone you trust helping you?

In some Indiana waiver situations, a family member, friend, or existing caregiver may be able to apply to work through Family First. An existing caregiver is not automatically eligible and must be hired by FFAC before providing reimbursable services.

What the caregiver must complete

Application and screening

The caregiver must apply, meet eligibility-to-work standards, complete required background checks, and satisfy other screening requirements.

Health and training readiness

Orientation and assigned training apply. TB or other health requirements and CPR/First Aid requirements apply where required for the role or service.

Employment responsibilities

The caregiver must follow schedules, use Alora electronic visit verification (EVV), complete service documentation, accept supervision, and follow FFAC employment policies.

Program and relationship rules still apply

The waiver or program, authorized service, participant-caregiver relationship, and current Medicaid rules determine whether the arrangement is permitted. A spouse, parent, adult child, other relative, friend, or existing worker may be treated differently under applicable rules. FFAC cannot guarantee caregiver approval or Medicaid payment.

Authorization controls reimbursable care

FFAC does not determine waiver eligibility, covered services, or approved hours. The participant-centered service plan and applicable Medicaid process control what may be reimbursed, even after a caregiver completes employment requirements.

Steps to begin

  1. Ask FFAC to confirm the program, network, service, county, and current onboarding capacity.
  2. Involve the case manager, care coordinator, or service coordinator.
  3. Confirm the authorized service and applicable relationship rules.
  4. Have the caregiver submit an FFAC employment application.
  5. Complete screening, orientation, training, and employment steps.
  6. Wait for authorization and a confirmed start date before providing services through FFAC.
